Job Title: Event Coordinator & Administrative Assistant
(Independent Contractor, Remote, Part-Time)

About the Role
​
The Galactic Spiritual Informers Connection (GSIC) is an annual international conference uniting truth-seekers, researchers, and experiencers in the fields of UFO disclosure, advanced technologies, and human consciousness.
We’re looking for a highly organized, detail-oriented, and tech-savvy Event Coordinator & Administrative Assistant to join our small but mighty planning team.

This person will work directly with the Global Event Director, supporting all aspects of conference and event planning—from scheduling and speaker coordination to customer service and ticketing.
The ideal candidate thrives in a remote work environment, can juggle multiple platforms and timelines, and takes pride in precision and reliability.

Responsibilities:

Support all stages of planning for GSIC’s annual 2,000-attendee conference and related initiatives.

Collaborate on scheduling, contracts, and communication with confirmed speakers.

Oversee and respond to customer inquiries via the official GSIC inbox.

Maintain and update content on ticketing platforms, website pages, and Vimeo video libraries.

Coordinate travel arrangements for staff and speakers.

Handle administrative and logistical details for venue planning.

Track budgets and expenses with accuracy and confidentiality.

Create, manage, and update detailed checklists and project timelines.

Prepare and order materials such as signage, attendee packets, and merchandise for the event.

Provide online support during the live event weekend (one event annually), assisting with livestream access, customer inquiries, and real-time coordination.

Ideal Candidate:

Attention to detail is non-negotiable. If you’re not known for being meticulous and precise, this is not the right fit.

Exceptionally organized, reliable, and self-managed—able to meet deadlines without micromanagement.

Clear and professional communicator, especially in writing.

Tech-savvy across multiple systems such as Wix, Squarespace, Eventbrite, Vimeo, Constant Contact, and Canva (or equivalent platforms).

Prior experience in conference or event coordination is essential—knowledge of hotel and theatre venue operations strongly preferred.

Comfortable working in a dynamic, small-team environment with shifting priorities as events approach.

Personally aligned with GSIC’s mission and themes is necessary (disclosure, consciousness, global awakening).

Logistics:
​

Type: Part-time, remote, independent contractor (1099).
-
Hours: 7–10 hours per week on average; approx 12+ hours per week in the two months prior to the event.

Meetings: Weekly 1–2 hour meeting with the Global Event Director (Pacific Time).

Event Support: Available for up to 8 hours per day remotely during the 3-day annual conference.

Start Date: Immediate.

Location: Remote (U.S. preferred).

Compensation:

Starting rate: $30/hour, paid monthly.

Opportunity for rate increase after the first full event cycle based on performance and continued collaboration.

This is a year-round position with the opportunity for renewal following each annual event.
